The point is to unpack these offers and scrutinize them step-by-step.
Let's take the "free machine" offer. There is nothing free in business. It is a given fact that unless it's stolen or the manufacturer has decided to go out of business, it isn't actually free. The vending machine supplier will realize the ‘free' cost from you at some point of time or other.
When you get a coffee vending machine, find out if the coffee and other consumables are being paid by the company or by you. When you get a ‘free installation' offer, the cost of consumables understandably will have to be borne by you because the supplier needs to cover the ‘free' cost here. Now calculate the cost of a cup of coffee and determine, what you actually pay. Get two or more quotes and determine the difference.
You also need to verify if you are obliged to buy consumable from the vending machine supplier . Again, suppliers who offer low rates, reclaim their cost somehow.
Check for the maintenance cost. A coffee vending machine , like any other machine, can break down and need regular maintenance. Does the supplier include maintenance and the cost of replacement of parts in the quotation? There are various models of coffee vending machines available in the market. Check out their prices and compare them before buying or renting that much needed coffee vending machine . Assess the likelihood of the supplier delivering on promises. Be sure of his being there when you need him!

If you want real coffee you're going to need a few things. The number one most important item you'll need is a top quality grinder. This is the most important consideration of all, even more important than the machine or brew method choice. Next you'll need to decide what type of coffee you want to prepare. You say you want coffee like in a coffee house, that usually means espresso. A good quality espresso machine and grinder that will handle office loads is going to run in the $1,000+ range. You can spend less of course but I doubt the equipment would be robust enough to last long. I'd recommend the Rancillio Silvia machine with the Rancillio Rocky grinder for starters. If you can spend more then you can move into the Rocket class machines. Drip machines, forget it. Coffee HAS to have water 192-204 degrees to extract properly and no drip machine in the US has a thermostat that high, we like suing people too much so the manufacturers tweak them down resulting in weak, crappy, underextracted coffee. There is one drip machine however that will work and that's the Technivorum, about $200. You could also simply make presspot coffee like much of the world does and spend very little money. All you'd need then is a presspot, $25, and a good grinder. Since presspot grind isn't as critical as espresso you could get by with a $100 grinder here, say a Baratsa class machine. No matter your machine/brew method choice you'll still need to locally source fresh roasted beans. Ideally you want beans 7-10 days off roast at most. Beyond that and they aren't generally considered fresh anymore. You can have freshly roasted beans shipped right to your door from many speciality roasters on the web, Intelligencia comes to mind. They don't make coffee, they make coffee-like sludge for consumeristas you don't know any better and like to imagine they have a home "espresso" machine. They're all junk and a waste of time and money.
